Who is responsible for your data?

HYRED BV, Schaapschuur 1 bus 14, 1790 Affligem, Belgium, company and VAT number BE 0825.377.750, RLE Brussels (“HYRED”), is responsible for the personal data processed through this website. For any question about your data: info@hyredsfx.com or +32 53 43 83 43.

Forms: what we receive and why

When you send a form on this website (contact, catalog request, quote request or job application), we receive what you fill in: your name and email address and, if you give them, your company, phone number, country, rental dates, delivery address, the items in your quote and your message. We also store the language and address of the page you sent it from, the date and time, and the country your connection comes from. With a contact, catalog or quote request we also record your confirmation that you are requesting as a business or professional, and with every form whether you allowed read receipts for our emails (see “Emails from HYRED”). Your IP address is not stored in our database; to keep out abuse, we use a pseudonymised code of your connection for at most one day.

We use these data only to handle your request: to send you the catalog, to prepare a quotation and follow up the rental or sale, or to assess your application. The legal basis is taking steps at your request before entering into a contract (article 6.1(b) GDPR) or our legitimate interest in answering your question (article 6.1(f) GDPR).

Chat assistant Alfred

On this website you can ask questions to Alfred, an AI assistant that answers from our catalog, guides and terms and can put items in your quote list. What you type goes, together with the language and address of the page you are on, through our server to Anthropic (Anthropic PBC, United States), whose Claude model writes the answer. Anthropic acts as our processor under its commercial terms and does not use your messages to train its models. Anthropic keeps your messages only for as long as provided in our data processing agreement with Anthropic. We do not store the conversation: it stays in your browser (session storage) until you close the tab or start a new chat. We only keep anonymous daily figures (number of conversations and questions, usage costs), without content. Your IP address is not stored in our database; to keep out abuse, we use a pseudonymised code of your connection for at most one day. Please do not share sensitive personal data in the chat.

Only when you ask for it, give your name and email address and tick the consent box, do we receive the conversation with a short summary as a request, just like a form (legal basis: taking steps at your request, article 6.1(b) GDPR). We then keep it as described below.

How you found our website

Only if you allow it under “Remember how you found us” in the privacy settings, your browser keeps how you arrived at the website: the domain name of the website that referred you (for example google.com, never the full address), the first page you opened and, if the link contained them, the campaign tags utm_source, utm_medium and utm_campaign. It keeps this for at most 30 days in its local storage (not a cookie) and only sends it to us together with a form or a chat you pass on to us. It shows us which channels bring in requests. Legal basis: your consent (article 6.1(a) GDPR and article 10/2 of the Belgian Electronic Communications Act). Without your consent nothing is kept and nothing is sent. You can withdraw your consent at any time via “Privacy settings” at the bottom of every page.

Updates by email

When you request the catalog, you can tick “Send me new-gear & outlet updates (max. 1/month)”. The box is not ticked in advance. If you tick it, we may send you at most 1 email per month about new equipment and outlet items, on the basis of your consent (article 6.1(a) GDPR). You can withdraw that consent at any time by replying to such an email or by mailing info@hyredsfx.com; we then take you off the list.

Visitor statistics

Only if you allow it under “Visitor statistics” in the privacy settings, we measure the use of this website with Cloudflare Web Analytics: your browser then loads a small script from Cloudflare (static.cloudflareinsights.com). It sets no cookies and does not follow you across other websites; we only see aggregated figures such as page views, referring websites, countries, browsers and loading times, never a profile of an individual visitor. Legal basis: your consent (article 6.1(a) GDPR). You can withdraw it at any time via “Privacy settings” at the bottom of every page. We do not use Google Analytics or advertising trackers.

Which organisations visit our website

HYRED works for companies, event and production firms and public institutions. To know which organisations are interested in our equipment, our server checks, for each page view, whether the internet connection belongs to an organisation (for example a company network or a fixed company connection) rather than to an internet provider. For this we use the network name that our hosting provider Cloudflare supplies and the public register of IP address blocks (RIPE NCC and the other regional internet registries). In that register we look up the network block (for example 192.0.2.0, or the /48 prefix of an IPv6 address), never your full IP address. We only do this on hyredsfx.com itself.

• If the connection belongs to an organisation in Europe or the Gulf region, we store the name of that organisation, the country and approximate city of the connection, the page viewed, the date and time and the domain name of the website that referred you (for example google.com). We do not store your IP address and we do not try to identify you as a person.
• If you use an ordinary home or mobile connection, a VPN, Tor, a proxy or a hosting provider, if the register shows a private person or a sole trader, or if the visit comes from an automated program, we store nothing.
• To avoid consulting the register on every page view, we keep a pseudonymised code of the network block (never your individual address) with the result for at most 30 days.

Legal basis: our legitimate interest in knowing which organisations show an interest in our services, so that we can follow up on business contacts (article 6.1(f) GDPR); we weighed that interest against your rights and limited the processing to what is described here. We keep these data for 12 months. You can object at any time by mailing info@hyredsfx.com, stating your organisation: we then erase the stored visits of that organisation and put it on an exclusion list, so that nothing is stored again.

Cookies and local storage

This website sets no tracking or advertising cookies. Our hosting provider Cloudflare may set a strictly necessary security cookie that protects the website against abuse by bots. In your browser’s local storage the website keeps your quote list, your choice in the privacy settings (for 12 months, after which we ask again) and, only with your consent, how you found the website (see above); you can clear them in your browser at any time. A YouTube video only loads when you click it (via youtube-nocookie.com); from that moment YouTube processes data under its own privacy policy. The preview image of such a video comes from YouTube’s image server (i.ytimg.com).

Emails from HYRED

Emails we send you from our systems — the confirmation of your request, the login link for the client login, quotations, order confirmations, invoices and reminders — only contain a small invisible image (a read pixel) if you allowed it: under “Read receipts for our emails” in the privacy settings of this website (your choice is sent along with your request) or in the client portal. When your email program loads that image, we record whether, when and how often the email was opened. We store only that, together with the recipient address, the subject and the time of sending; your IP address and device details are not stored. We use this solely to know whether our message reached you and to follow it up. Legal basis: your consent (article 6.1(a) GDPR and article 10/2 of the Belgian Electronic Communications Act); you can withdraw it at any time via “Privacy settings” at the bottom of every page or by mailing info@hyredsfx.com. Without your consent our emails contain no read pixel.

Spam protection (Cloudflare Turnstile)

Our forms, the client login, the start of a chat with Alfred and passing a chat on to us are protected against spam and bots by Cloudflare Turnstile. When you open such a form or the chat, your browser loads a short check from Cloudflare (challenges.cloudflare.com) that tells people from automated programs; usually you see nothing, sometimes you are asked to tick a box. For this, Cloudflare processes technical data of your connection and browser, such as your IP address and browser characteristics, only to detect bots, not to follow you across websites or for advertising. Turnstile sets no cookies on our website. Legal basis: our legitimate interest in keeping our forms free of spam and abuse (article 6.1(f) GDPR).

Client login

Regular clients of HYRED can sign in on this website to see their own prices, including their discount. You sign in with your email address and a password you choose yourself, or with a link that we email to the address we know you by; that link works once, for 15 minutes, and is also how you set your password. While you are signed in, the website sets two strictly necessary cookies: one with a random session code (not readable by scripts, valid for 30 days or until you sign out) and one that only says that you are signed in. No cookie banner is needed for these, because you ask for them yourself by signing in. The website does not store your data: it checks your session with our customer records (the HYRED app) and receives only your name, company name, email address, phone number and country (to fill in our forms for you) and your discount percentages, without storing them. To prevent abuse, we log sign-in requests with a pseudonymised code of your connection, never your IP address. Legal basis: the performance of our agreement with you (article 6.1(b) GDPR) and our legitimate interest in securing your account (article 6.1(f) GDPR).

Who receives your data?

Only the HYRED staff who handle your request, and the service providers that host or process the data for us, on our instructions (processors): Cloudflare (hosting of the website and of the database in which forms are stored, visitor statistics, spam protection), Microsoft (Microsoft 365: the email in which we receive and answer your request) and Anthropic (the chat assistant, see above). We do not sell your data and do not pass them on to third parties for their own purposes. These providers may also process data outside the European Economic Area; they then do so with the safeguards the GDPR requires, such as standard contractual clauses.

How long do we keep your data?

• Requests sent through a form: up to 2 years after our last contact with you.
• Copies of requests in our mailbox info@hyredsfx.com: deleted after 2 years.
• Chat conversations: not stored by us; a conversation you pass on to us: up to 2 years after our last contact with you, like a form.
• Job applications that do not lead to a job: up to 1 year after the application.
• Updates by email: until you withdraw your consent.
• How you found the website (only with your consent): at most 30 days in your browser; after that only as part of the request you sent.
• Which organisations visited the website: 12 months; the pseudonymised code of a network block: at most 30 days.
• Your choice in the privacy settings: 12 months in your browser.
• The pseudonymised code of your connection (to keep out abuse): at most one day.
• Client login: a sign-in link expires after 15 minutes, a session after 30 days or when you sign out, the sign-in log after 1 year. Your password is stored only as an irreversible hash (nobody at HYRED can read it); we delete it when you ask us to.

If your request leads to a quotation, an order or a contract, we keep the data needed for it in our customer records and accounts for as long as the law requires.

Your rights

You can ask us at any time for access to your personal data, to correct or delete them, to restrict their processing or to receive them in a common format, and you can object to processing based on our legitimate interest. Send your request to info@hyredsfx.com; we answer within one month. You can also lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be.

Security

The website only works over an encrypted connection (HTTPS), so forms travel encrypted. In our systems, only the employees who need your data for their work have access to them.
